BACKGROUND:

The City Manager awarded Contract 19-033 to Advanced Data Technologies (ADT) on March 1, 2019 for a one-year term with four, one-year options to extend.  The purpose of this contract is to have a qualified Systimax installer available to install and/or repair data and telephone cabling on an as-needed basis.

 

Projects in 2020 included:

                     Call Center migration

                     New monitor cabling for Department of Public Works

                     New data networking locations at the Municipal Center, Water Service Center, Fire Station 3 and other various locations

 

Projects in 2021 included:

                     Moves:  credit card machine phone line to new location in Finance, fax line moved to call center, lines from TED to Finance counter, and other miscellaneous

                     New lines: City Hall monitor, locations at Springbrook Water Reclamation Center, data line for TED, cable demo lines at EOC, locations at Naper Settlement, locations for DPW, office conversions, and other miscellaneous

                     Troubleshooting and fixing: cables in Finance, and exterior emergency phone line

Projects in 2022 included:

                     Work on the Water Service Center East Building fiber optic backbone

                     Installing additional lines required for NextGen E911

                     Reconfiguring wiring for the TED Department in the Municipal Center

                     Cabling for body camera docking stations at the Police Department

                     Extending copper lines and adding data lines

 

 

DISCUSSION:

During the original term and the first two option years, ADT has delivered excellent service in a timely manner whether it is a planned project or a needed repair. 2023 anticipated projects will include typical moves, changes, additions, and troubleshooting.

 

Based upon the vendor’s performance, Information Technology would like to extend the contract for the fourth option year.  ADT has agreed to maintain the contract’s rates and terms without material change.

 

The term of the fourth option year is March 2, 2023 to March 1, 2024, with no option years remaining on the agreement.

 

 

FISCAL IMPACT:

CIP#: N/A


Wiring and telephone equipment services are budgeted in the account number listed below for a total of $14,300. Installations outside normal cable installations are expensed to each department for services as needed. The I.T. Department manages the contract and monitors requests for installations throughout the year. Services are reviewed and appropriated to departments as is necessary.
