CITY MANAGER AUTHORITY PROCUREMENT AWARDS

ACTION REQUESTED:
title

Approve the award of Change Order #1 to Option Year One of Contract 18-184, Fire Alarm Monitoring and Maintenance, to Chicago Metropolitan Fire Prevention Co. for an amount not to exceed $3,108 and a total award of $148,108

body

DEPARTMENT:                     Fire Department

SUBMITTED BY:                     Mark Puknaitis, Chief

BACKGROUND:

The Naperville Fire Department administers a fire alarm monitoring program for approximately 1,500 commercial and multi-family fire alarm systems which are tied directly to the City’s public safety answering point (PSAP).  Customers pay a monthly fee to the City to maintain their fire alarm systems.  The purpose of this contract is to hire a vendor to provide wireless radio installation and wireless network and head-end receiving equipment maintenance.

The City Council awarded the contract in November 2018 for a three-year term with three, one-year options to extend.  The first option year was approved by the City Council in December 2021; the term of the first option year is January 1, 2022, through December 31, 2023.

DISCUSSION:

This change order is requested to purchase an alarm board, which will be installed at PSAP.  The additional board will improve PSAP operations.  Currently, when a dispatcher with an alarm board leaves their post, a dispatcher that does not have the alarm board must physically get up to look at the alarm board and incoming calls.  Adding the additional alarm board will allow the remaining dispatcher to stay at their post to address all incoming calls.

FISCAL IMPACT:

CIP#: N/A

Maintenance of the Fire alarm monitoring system is expensed to the account number listed below. Installation of radios and services are also covered under the current contract. The requested change order is facilitated within budget.
