BACKGROUND:
The City Council awarded Contract 16-199 to Meade Electric Inc. on April 5, 2016 for a one-year term, with four, one-year options to extend. This contract provides for maintenance of all street light controllers in the following areas: arterial roadways, residential roadways and the central business district (CBD). Monthly maintenance of the street lighting systems in the municipal parking lots, including street lights and controllers for the municipal buildings, test track, 95th Street park and ride lot, Route 59 train station, Downtown train station and platform and the Van Buren and Paw-Paw surface lots in the CBD are also included in this contract. Council approved the first three extensions to the contract in April 2017, April 2018, and March 2019, respectively. The final extension to the contract was approved in March 2020.

DISCUSSION:
Meade Electric Inc. performed well during the fourth and final extension performing routine monthly maintenance and repairs on approximately 225 controllers and 500 parking lot lights. DPW is currently bidding the new street lighting controller and municipal lots maintenance contract and expects that it will be on the City Council agenda in early June for approval. Staff is requesting that the existing contract with Meade be extended for 29 days so that we have maintenance coverage until the new bid can be awarded. There are sufficient funds remaining on the contract to cover this extension. As a result, this change order does not impact the authorized contract amount.

The term of the extension is May 1, 2021 to May 29, 2021.
