BACKGROUND:
The Department of Public Works - Public Buildings Division is responsible for ensuring that the City's elevators are properly maintained. The City currently own and maintains twelve elevators in seven City facilities. Except for the Water Street parking deck elevators, the average age of the elevators is 20 years.

In November 2020, the Department of Public Works-Public Buildings Operations (DPW-PBO) issued Bid 20-399, Elevator Maintenance Services. The elevator service technicians will perform monthly maintenance on the elevators and preform repairs as needed.

Three of the nine plan holders attended the mandatory pre-bid meetings. Of the three in attendance, only two submitted a bid.

The bid was structured to be awarded to the lowest responsible bidder providing the lowest responsive base bid, which included two years of routine maintenance. The base bid is $43,200 for two years. In addition to the base bid, an additional $51,800 is being requested for unanticipated labor and parts needed throughout the 2-year term, as labor and material rates were included within the bid. The amount requested for unanticipated labor and parts is based upon historical repair data.

The term of this contract is two years from the date of award, with three, one-year extensions.
