BACKGROUND:
The City Manager awarded Contract 21-206 to CARSTAR Todd's Body Shop for autobody repairs for light-duty vehicles on June 17, 2021. The contract had a nine-month term from June 21, 2021, to March 31, 2022, with four one-year options to extend.
The City Manager awarded Option Year #1 on February 15, 2022, for a one-year term from April 1, 2022, through March 31, 2023 and Option Year #2 on April 20, 2023, for a one-year term from April 1, 2023, through March 31, 2024. The City Council awarded Option Year #3 on July 16, 2024, for a one-year term from April 1, 2024, through March 31, 2025, with one one-year option to extend remaining on the agreement.
The purpose of the contract is to procure autobody repairs for light-duty vehicles in the City's fleet.
DISCUSSION:
During the third Option Year of the contract, CARSTAR Todd's Body Shop completed 19 repairs totaling nearly $160,000.
The vendor has repaired units within the terms and rates of the contract and works well with City staff to triage and coordinate necessary repairs. Based on the vendor's performance, Fleet Services recommends extending the contract for the fourth Option Year. CARSTAR Todd's Body Shop has agreed to maintain the rates and terms provided for under the current contract.
The term of Option Year #4 is April 1, 2025, through March 31, 2026, with no option years remaining.
