BACKGROUND:

Units 045 and 078 were reviewed and approved by the Fleet Economic Committee and Fleet Services Manager for replacement in the 2024 budget. Vehicles are scored for replacement based on four criteria: age, usage, condition and repair costs. Recommending a vehicle for replacement requires a score of 23.0 or greater. Unit 045 scored 43.09 and Unit 078 scored 37.52.

 

DISCUSSION:

Unit 045 is a 2008 Ford F250 Pickup Truck with Plow and Unit 078 is a 2008 Ford F450 Pickup Truck with a Utility Body. Both units are used daily by the Electric Utility to transport equipment to worksites throughout the City. Unit 078 is equipped with a plow to help clear parking areas in the winter.  

 

The retired vehicles will be sold through one of the City’s auction companies.  

 

Units 045 and 078 will both be replaced with 2024 F250 Pickup Trucks with Plows. The units will be used to support work crews, tow trailers with smaller equipment attached and to clear utility parking areas in the winter. Current operations no longer necessitate the larger F450 pickup with a utility body. The units are specified identically to maintain fleet and operational conformity.

 

The new vehicles are available on the SPC Cooperative, an approved cooperative through Sutton Ford, Contract #221. The Cooperative has an expiration date of June 30, 2024. 

 

Using the City’s specifications, Sutton Ford has quoted the F250 in the amount of $53,916.95 per unit, totaling $107,833.90 for both trucks. Staff will separately seek quotes for plow installations.

 

The vehicles will be delivered in approximately seven months. The term is from the date of award through December 31, 2024.

CIP#: VE24-045 and VE24-078

 

Vehicle replacements for the Electric Utility are expensed to the Vehicles and Equipment account listed below. The Electric Utility included $114,000 in the 2024 budget to replace Units 045 and 078. The requested award is within the amount budgeted for this expense.
