BACKGROUND:
The Information Technology Department (IT) maintains the technology hardware environment for City staff across all departments. This environment includes desktops, workstations, laptops and monitors. During CY17, IT staff met with representatives of the departments to discuss and address changes to the computing requirements of their staff. Devices that had reached the end of their warranty were reviewed for job requirements, with an emphasis placed on the functionality of the ERP software and mobility.
The required replacements will include the following items:
One hundred thirty-three (133) devices were identified as being at the end of maintenance and continue to require a desktop environment to fulfill current computing needs. The recommended model is the Hewlett Packard ProDesk 600 G3 SFF, Intel Core i7-6700, 8GB RAM, 256 GB SATA SSD, DVDRW, NVIDIA GeForce GT730 Video, Wired Keyboard and Mouse with a three-year Warranty.
Three (3) desktop devices were identified as being at end of maintenance and undersized for use with the current AutoCAD software. Staff from IT and the Transportation, Engineering and Development Business Group partnered with representatives from AutoCAD and Hewlett Packard to configure a system that will accommodate current computing requirements of city design and engineering software. The recommended model is the HP Z440 with the XEON E5 6 core processor, Z Turbo solid state drive, gigabit network connectivity, the NVIDIA Quadro K2200 graphics card with a three-year warranty.
Seventy-three (73) devices were identified as being at the end of maintenance and require computing mobility. The recommended laptop model is the HP EliteBook 840 G4 Notebook PC with Intel Core i7-7600U, Intel HD 630 Graphics, 8GB RAM, 256 GB SSD processor with a three-year Warranty.
IT staff has identified one hundred eighty-two (182) 17” and 19” monitors that are at least ten years old and are undersized for current video requirements. The recommended replacement monitor for these systems is the HP EliteDisplay E240c Monitor with 1000:1 Contract Ratio, 1 VGA, 1 HDMI, and DisplayPort Input Signals and Energy Star qualified.
DISCUSSION:
An existing National Alliance of State Purchasing Officials (NASPO) cooperative agreement (MNNVP-133-ILTPP) has been identified to procure the required Hewlett Packard desktops, workstations, laptops and monitors.

Hewlett Packard Hardware is expensed to the Technology accounts below. A total of $318,205 has been budgeted across these accounts for the purchase of desktops, workstations, laptops and monitors in CY2017. The requested award of $269,451.99 is within the budgeted amount for this expense.
