BACKGROUND:
As part of the Smart Grid Initiative, the Electric Utility (Utility) has Hewlett Packard (HP) equipment in the form of servers, computers, and storage at both the Electric Service Center and Municipal Center. Over time, as hardware has been upgraded, the support contract has also been updated to include new hardware and service support options. Historically, the Utility has purchased support service agreements via cooperative contracts. To ensure continuity of operation, the Utility has maintenance agreements with all vendors for Smart Grid assets.
DISCUSSION:
HPE Enterprise Support provides technical assistance and resources to help organizations maintain and optimize HPE hardware and software infrastructure. This includes additional support options to assist with troubleshooting, usage, configuration, and capacity management. Specifically, HPE provides:
1. Hardware support
2. Helpdesk service for Hardware and software
3. Mission-critical advisory service
4. Software updates via e-delivery
A total of 24 physical servers and two storage area network (SAN) storage arrays are included in the agreement.
Staff has identified an approved cooperative contract, Midwestern Higher Education Compact Cooperative Contract MHEC-12152020 through Hewlett Packard Enterprise
(HPE), for the procurement of the support services. Due to periodic additions, deprecations, and upgrades to the HPE equipment on the network, the Utility selected a one-year term to renew support.
There are currently two cooperative contracts for HPE support. Utility staff compared pricing and support levels between the State of Illinois cooperative contract and the Midwestern Higher Education Compact (MHEC) cooperative contract. Utility staff determined that there is significant cost savings in using the MHEC contract.
The term for support services will be from September 19, 2024 through September 18, 2025.
FISCAL IMPACT:

HPE support is expensed to the Software and Hardware Maintenance account listed below. The Electric Utility included $182,500 in the 2024 budget for HPE support services. The requested award is within budget for this expense.
