BACKGROUND:
In October 2024, the Information Technology (IT) Department issued Bid 24-160, On-Call Cable and Wiring Services, to secure a vendor to perform cabling and wiring jobs in support of IT networks and systems at various municipal buildings. The City’s needs for cable and wiring projects include computer networking, telephony, and other low-voltage technologies.
Every year the City requires a cable and wiring vendor to address a wide range of projects ranging from a few simple networking drops or telephone moves to extensive projects for office remodeling and deployment of new technologies.
These jobs vary in size and complexity, and the associated cost can range from several hundred to several thousands of dollars. These jobs require specialized skills, tools, and capabilities that are more efficient to outsource than to staff and equip in-house.

Vendors priced out three scenarios, which are representative of potential cable and wiring jobs per job estimate, for lowest bid determination only. Staff recommends the award to the lowest bidder, Advanced Data Technologies (ADT). ADT has been the City’s vendor in the past and has performed adequately.
The award amount of $180,000 is being requested for the three-year period given prior contract usage data and forecasted future projects.
The term of this contract is from the date of award through November 31, 2027, with two, two-year options to extend.

Costs associated with routine cabling and wiring services are budgeted in the account numbers listed below. A total of $14,300 for routine cable and wiring services is proposed in the 2025 budget. Cable installation for special purposes, such as those done in conjunction with a capital project, will be expensed to the respective project account as appropriate. Future year amounts will be budgeted accordingly during each budget cycle.
