BACKGROUND:

Unit 780 was reviewed and approved by the Fleet Economic Committee and Fleet Services Manager for replacement in the FY2023 budget. Vehicles are scored for replacement based on four criteria: age, usage, condition and repair costs. Recommending a vehicle for replacement requires a score 23.0 or greater. Unit 780 scored 24.10.

DISCUSSION:

Unit 780 is a 2012 Chevrolet 4500 high-cube CCTV van used by the Water Utility’s Collection Division to inspect underground water infrastructure, including lateral sewer lines.

The unit will be replaced with a 2021 Ford F550 high-cube CCTV truck with the appropriate CUES camera equipment and software to perform underground inspections. The new vehicle is available on the HGAC Buy Cooperative, an approved cooperative through Elxsi (dba CUES). Contract #SCO1-21. EJ Equipment, Inc. is the local authorized CUES, Inc. dealership.

Staff worked with EJ Equipment, Inc. to source an in-stock truck that meets the City’s specifications. The unit available for delivery in 30 days and the vendor has agreed to hold delivering the unit until January 2023. The retired vehicle will be traded-in to EJ Equipment, Inc. for $80,000 as part of the purchase of the new vehicle.

Using the City’s specifications, EJ Equipment has quoted the high cube camera truck in the amount of $599,408; a cost breakdown is provided below.
