BACKGROUND:

On June 5, 2022 the City Council awarded contract 22-006, 2022 Sidewalk and Curb Maintenance Program, to Schroeder & Schroeder Inc. This is an annual program operated throughout the city to repair and replace curb and sidewalk which meet certain  criteria for replacement. This project is considered part of the Maintenance Improvement Program (MIP). The original award included a contract completion date of August 12, 2022.

 

DISCUSSION:

This change order is a final balancing of all pay items based on agreed as-built final quantities and is a net negative change due to the reduction of various pay items. This Change Order reduces the total contract value by $65,402.50.

 

Contract work was completed by the Contractor before the August 12, 2022 completion date. However, the City continued to receive complaints of sidewalk and curb repairs which were already showing signs of degradation. Following inspection, a list of 7 locations was prepared and forwarded to the contractor. Due to the late season notice, work was unable to commence on these locations until the following year.

 

Schroeder & Schroeder Inc was the low bidder for the 2023 Sidewalk and Curb Maintenance Program. Through discussions with staff, they were permitted to complete the warranty repairs against the 7 locations as part of their 2023 season routing instead of requiring this work to be done separately. All warranty repairs were completed on November 7, 2023. This change order requests an additional 452 days to extend the contract to the final completion date of November 7, 2023.

This change order is to reduce the value of the contract and extend the contract to pay the final invoice for work completed in November. The change order brings the contract total to $931,542.50 and has no direct fiscal impact.
