BACKGROUND:
Data availability and storage are critical to all business units across the organization. IT is seeing an ever-increasing demand for the availability, use, and storage of larger files such as video, and legislative requirements. The necessity of responsible file backup and retention practices also dramatically increases the amount of storage required. The last storage procurement of this type was performed in 2019 and equipment from that purchase is reaching the end of its usable life.
DISCUSSION:
This procurement serves to address current data availability and storage needs for various City needs and will lay the foundation to grow along with future demands.
Specific examples of projects demanding more storage:
• Naper Settlement plans to digitize all their photos/other media which will require a currently unknown amount of storage but will no doubt place increased demand on existing storage arrays beyond what they can address.
• Growth in the use of OnBase for document imaging and retention. New business processes have grown the amount of storage that the platform demands as more types of documents are being stored within that system.
• Adoption of more video technologies, while for some solutions much of the video is stored in the vendor’s cloud storage, there are still needs which are growing to handle files locally either for permanent storage or as a working copy that was downloaded from the cloud.
Staff has identified an approved cooperative contract, 230105 - TIPS, through ITsavvy LLC for the procurement of this storage solution. The expected delivery date is before 12/31/2023. The contract close-out date is 1/31/2024.

Enterprise data storage is expensed to the account number listed below for a total budget of $360,000. The requested award is within the budget for this item.
